Free ride 23. April.07
Report back:
what have you done this couple of weeks as a coordinator?
Johny: volunteer coordinator not here
Program coordinator: Jess: later in Yw discussion
Andalusia: we need to have an earn a bike meeting to discuss what we want to do about money, if FR can subsidize
Shop: Erok: haven't done anything notable. What about next QBP order? We could make more frequent orders, because shipping was not that bad.
Morgan: we have no U locks and no cable locks
Shaun: we should bump up the quality of the tires we carry
Scott: the 27s
Andalusia: free wheel tool missing
Jess: the lock ring remover is broken
Morgan: one was smushed in a vice
Jess: we don't have any tape or ferrels
Stuart: got a lot of tires from speed goat spokes
Erok: need a better system to collect money from special orders
Scott: stuff in binder
Erok: I'll make an order on Monday talk to me before that
Scribe: took notes
Outreach: mitzah group is comming on sunday from 1:30 to 3:30. I put up some more volunteer tasks on the white board.
This guy from city high school wants us to teach skills to the physics class. May 7th Monday in the day. The guy who is doing the commercial never got back to us.
Treasurer: shaun: I haven't done any reporting on new financing. This wed and may 1st will be the days I do that.
Andalusia: what are we supposed to do when we are showing the cash register to train? Shaun: there is a void all function but don't subtotal and cash in because then you can't void it. The circuit for the computer is different than for the lights.
Shaun: can we tape the breaker down?
A: I'll do that tomorrow
A: I don't like the system of putting the register in the cabinet
Erok: we could put it in the welder cabinet once its complete
Morgan: when the time and the date are wrong can I fix it?
Jess: YW instructors must be paid as independent contractors. we need to make personal invoices to capture info necessary.
Inreach: Morgan: prodding people over email, finding useful facilitation materials
Matt: individual reminders after a week of non-response
Media Phone and email: Andalu: same as outreach. Youth invasion, our youth will work this.
Jess: can we buy a phone? Proposal: buy a phone approved
CJ liason: Stewart: Deb called back, said she would have written same thing. Meeting wed at co-op cafe
Erok: are you going to record it? one of the garage doors on our side was open
Andalu: bonnie didn't close it. CJ didn't close it.
Morgan: have you been talking to Mike or just Deb?
Stuart: we cc mike on first letter but not second letter
Jess: We should leave a message with Deb when things like that happen. Whats on the agenda for this convo?
Stuart: discuss concerns for not paying maitenance fees. See wiki.
some at free ride want to let deb know that we are unhappy with the current way that the CJ FR interactions are working out.
SOme think it is more important to get things done without resolving the process completely
Morgan: we should put in a 1 hour conversation about FR CJ Deb interactions.
Morgan: proposal there is a space on the wiki for specific Deb quesitons, if not then we will have a FR CJ Deb discussion soon.
Greeter belt discussion:
Mechanic should take ids, because mechanics are in one place dealing with people and tools
Stuart: greeter is a role that is easier to interupt
The money belt was with the greeter
Stuart: can we decide day to day in the shop?
Jess: better that person who gets ids gets tool boxes.
Scott: have two pairs of keys, or three if every coordianator could have a set.
Morgan: proposal: the people in the shop can decide whether the mechanic or the greeter takes the ids and the toolbox, but one person does both. Passed
erok: the greeter still has the register key
Shaun:
Andalu: the keys goes on anyones pants so the belt isn't necessary to go with the keys.
Morgan: proposal: we will have additional keys made so that many people can have the most vital keys. not passed
Erok: propose I will head up the key simplification process and make three key sets. not passed
discussion on whether or not to buy additional locks for simplification.
Morgan: propose that erok will buy additional keys to simplify process if it can be done for 100 dollars or less, if they cannot be bought for 100 dollars or less we will come back to this at next meeting. the locks should be of a higher quality than the present locks. voted passed.
the disscussion of the keys will be delayed until later.
Fix for Sale discussion:
Andalu: we make a much stronger effort, if we continue to sell used bikes, we make a greater effort to tag them for sale, as opposed to letting them become fix for sale.
Scott: it should be either a coordinator ship or deligated to a current coordinator. If someone would bottom line it it would run better
Stuart: should start with enumerating problems with program.
Jess: potential solution of independent night were fix for sale is all we do.
Problems:
people will tell customers that bike will be fixed in 2 weeks but then no one fixes them
We undersell bikes
Someone isn't bottom lining it
no one has time to work on these bikes.
Its time consuming to find a fix for sale
it is a marginal source of income for free ride.
no set point on when bikes are ready to go
Volunteers may not be able to fix for sale regardless of what they say
Solution:
Forms
As-is price, plus 8$ hour
Tell people if its too much work
clear coordinator role
extra days to fix bikes
stop telling people that it will take 2 weeks
access issue-not everyone has time to work on bikes
pull in individuals
Jess wants a larger discussion of how we can fix more bikes
Stuart: I think its important to keep request possible for various size frames
Morgan: is one among us to take on fix for sale
Is someone going to bottom line the fix for sale?
People do not think we have enough people interested continue fix for sale on a volunteer basis.
Scottt: The fix for sale coordinator needs to select teh bikes when they come in and chart their progress
Diane: proposal: we should take the problems and solution that we have identified and someone will brainstorm after the meeting and bring it to the next meeting. vote adopted.
Jess: set a date for discussion and make a wiki pge out of it.
Jess will take on role of fix for sale
Scott and andalusia will take on fix for comission
Library Bikes:
How much should we charge for library bike use?
Where should this money be kept?
Shaun: like a Keg we keep money in a seperate place and we only take the money if they do not bring the bike back.
Jess: we should put the money in and then take it out if they bring the bike back. If you send out an expensive bike charge a higher deposit
Stuart: have individual envelopes
we should set a time that the library bike comes back if it doesn't come back by then keep the money
MOrgan: proposal: we have a tabbed binder with individual envelopes with money for library bikes. voted adopted.
What do we need to have info:
name date, date it left, phone number, and due date, address, email, don't just get email, info of if you give them a lock and charge extra for that,
Morgan: proposal: we include this info in the tabbed folder. voted adopted. stuart will create sheet
Deposits discussion:
Andalu: large portion of bikes don't come back so don't send out nice bikes, only send out ugly bikes
Stuart: I don't like the idea of a price of a sale of the bike.
Shaun: have a fleet. make sure they are painted and crappy.
Jess: we tried to do this before and the bikes constantly needs attention
Matt: proposal: we should have five library bikes for circulation of low bike quality, if they come back trashed simply junk them. voted adopted
discussion of proposal
Clarifying
Meeting time: Sunday May 13th 5 pm at schendley plaza
YOUTH WORKS DISCUSSION:
Stuart: whats the monthly turnover rate?
Weve lost three, there is one original remaining.
Morgan: minimum wage has been bumped but the youthworks grant hasn't been bumped
Jess: grant is on the wiki, but FR still has to make up 2400 dollars. If kids don't have full attendance that saves money, if the kids build 1 bike a month that will help.
Morgan: is it your vision that FR will subsidize? Or will there be fundraisers
Jess: we hope there won't be a gap, but we didn't specifically plan contingency.
Scott: if we keep track of the bikes that would be good
Andalu: more fully incoorporate so that kids may take up financial strains such as tabling and open shop
Erok: there should be more balance
Matt: fundraiser early to ensure closer gap
what we need to know is:
if we are pulling the application out or not.
Diane: also talk about the reasons why to keep it
Diane Check in: do we want to pull the youth works grant? most no two ambivalent one yes
Stuart: wants to hear more about worse case scenario concerning money
Morgan:
(Matt: There are minutes from the end of the meeting that I wasn't able to get. Could someone who has them please post them. And could everyone make sure that I've highlighted the appropriate action items?? Thanks Matt)
