Stuart: time line and how it’s going to get done.

Jessica: a lot a certain amount of time each month or call special meeting
Andalusia: would people just read it and then have comments on it. Then add what things people would like, like the CJ letter. Then at one meeting we’d devote time to this.
Sean: have some sense of what we’re changing? Scribe was filled, then other positions
Erok: didn’t hear much about changing what was set up. More like details that needed changing. I just updated to how we’re actually functioning.
Sean: are we looking to re-write it or are we looking to evolve.
Erock: I was under the impression that we didn’t want to re-write it. It was a usable starting point
Sean: propose: read it again and at a meeting have a vote
Jess: re-writing words is about incorporating what we see and what we want to incorporate. Not as simple as changing stuff around. Ex. Coordinator ship positions are supposed to be open to collective not jobs. Which of our retreat goals relate to the words.
Andalusia: decide whether we do it over wiki or seans proposal. Not necessary to re-write them, devise a way to publicize them to the public.
Sean proposes: we sit down at next meeting and have an open discussion: a big chunk of a meeting.

Elijah: staff coordinator needs a phone list and needs to communicate to Stewart
Andalusia: earn-a-bike meets with YWCA about summer programming. Send out a list to collective about some of the org. that could work with. Should have an earn-a-bike sub-committee about who is interested in teaching because I am going to be gone over the summer. UP date: PALS being a FR but no one signed up. YW: going well but heat intensely affects the mood of the teens negatively. One youth has problem with family.
Sean: trying to organize for classes to happen but need other teachers?
Andalusia: yes, grant for a coordinator. That’s what I do.
Jess: never had a problem with getting people. Need to have a discussion about this project?
Maxine: how do you find out more?
Andalusia: that’s what we’re trying to figure out. If you wanted to be more involved you will go to that meeting.
Morgan: the whole group should know about that. Why don’t we pick a good date to have a non-rushed discussion about earn-a-bike

Andalusia: one thing that came up in the retreat was that youth works was something FR wanted. So we need to talk about the logistics at a short meeting. To my understanding that we agreed on this.
Jess: a big difference between saying that we like this and we will teach this for 6 months. We need to have a discussion about whether we can handle the reality of this.
Morgan: lets budget some time to discuss who you’ve outreached to and what we intend to do.
Johnny: Doesn’t earn-a-bike have its own committee. Isn’t it its own entity? Doesn’t non-participation in the committee that indicates participation in the work.
Andalusia: FR has a grant and I don’t want to see it swept under the table.
CHECK IN: is this something we need to discuss as a group? Or can it be discussed in committee and brought to the SHOW OF HANDS WE NEED TO HAVE A DISCUSSION ABOUT OUR COMMITMENT TO KEEPING EARN-A-BIKE

Morgan: are you concerned about earn-a-bike not being committed.
Jess: For discussing it at a group. It does require substantial commitment and if people are unable to…if we default on a program that is significant. We need to have a discussion that we have the resources to go on with this?
Diane: I’m lost why did this take ten minutes to talk about?
Stewart Proposal: Andalusia gets commitment to run earn-a-bike programs, takes it to the collective: then at next meeting you give it to the collective, the collective votes on this. At March meeting.
Andalusia: Locking up the shop. Things are not being cleaned up and locked. Bikes, locker, etc. We discussed that we have a check out list. Did we agree to have a check out list?
Stewart: a shift sheet.
Morgan: did we already agree to have a shift sheet?
Stewart: discuss poster for check out and sheets for each shift.
Diane: does it matter if its been discussed or does someone want one?
Discussion on accountability vs. being adult about making sure we do things.
Moving on to: CJ letter:
Stuart: two beg issues are we sending to the board, what are the specific proposals for how we act. And how to reach letter consensus before next meeting
Sean: One-person liaison is effective
Jess: 1. Have 1 person liaison but have a well defined process to report back to the group make it clear to CJ and within ourselves how much the liaison is empowered. The liaison doesn’t act autonomously. Or we have open meetings with CJ.
Erok: show of hands for interest in CJ meeting
Maxine: individuals should look for other spaces
Jess: what have been the problems in the past what are we trying to accomplish.
Erock isn’t that the letter
Jess: not with them within us.
Sean: lack of understanding with what Deb does know. We don’t have a way to know for sure what they think. We don’t have updates
Andalusia: we talked about new correspondences over email. But she doesn’t remember the phone call so email correspondents could erase that confusion.
Jessica: says need to have monthly meetings with them with minutes and distribute to collective
Morgan: I think one problem is we don’t set goals about what we want FRom CJ then liaison role isn’t clear. Delegating to one person to talk is good but someone who could make decisions is not good. Want to clarify if liaison is able to make decisions or is just a mouthpiece.

Erok: come up with a job description of liaison, like keeping written record.
Morgan: can we have a decision?
Andalusia Proposal a liaison who meets monthly with CJ and the collective to gather information, but has no decision making power. But can call a meeting or get a consensus over email or etc.
Jessica: clarify a liaison is a conduit of information exchange between CJ and FR.

Jess: in past there’s a lot of distrust of CJ. As one of the people that talks FRequently it comes across diff when you talk to them face to face it doesn’t seem that malignant.
Face to face is FRiendlier.
LETTER TO BOARD VS DEB
Erok: we shouldn’t send the letter to the board immediately because of resentfulness, but more than one should see the letter. Ex. Mike gable. I feel the board doesn’t know much about us.
Jess: disturbed about going overhead. Want to know how to get a sense if board discussed FR, or not. If they’re talking about us we may as well send it.
Sean: just sending letter to Deb would be inappropriate. Deb seems to not take it to the board. We have a clear problem with Deb on communication. Board doesn’t know about what’s going on because of Deb.
Erok: I wasn’t aware if weird ness comes from the board. If we have a good relationship with CJ because of the letter, then we are good. Do we know if the board was the cause of the weirdness?
Sean: it is important that the board knows this because they had a board. Just as it would be important that we all knew about something
Jess: she said, the questions I’m getting FRom them (board) is why are they not paying rent because of…” How can we find out if the board knows about us or not.
Andalusia: I feel like it will be seen as combative if we send it to the board. I say just send it to dDeb and then Mike. Once we see how this goes FRom the creation of liaison we see how to proceed FRom there.
Andalusia Propose: send letter to Deb and cc Mike Gable. Wait to see how this is responded to, if correspondence does not improves we draft to the board.
Stuart: I drafted that letter for Deb. If I drafted for the board I would draft it without damaging relation with Deb and Mike.

Sean: we make proposals and then don’t vote on them.
Andalusia: it’s not good to point out that we didn’t have insurance. It’s not good to give them something to scrutinize in the future.

Morgan: can we pass that over to the liaison?
Morgan Proposes filing the role of liaison now. Term for liaison is six months approved. Stuart is liaison jess will go with.

Andalusia: it has been decided to have 6 month and have an agreement that you will be an opener, to help FR. Everyone has keys except Morgan.
Jess: I see a problem when everyone might have keys.
Jess: Brian wants list of people who is there after hours Deb wants a list of those with keys.

Andalusia: proposal will look at the calendar everyone who has keys to FR plus those who have volunteered.
Someone was unclear
Sean: for the present make a list that is everyone who is clearly coming to meetings who would have a key and who would be an opener. Tanking into account that it’s been 3 years without one
Jess: Clarify it that it is different because CJ is trying to kick suspicious people out.
Jess Proposes: for time being will use people who meet consensus definition of key holders to also be on after hours list and then at a later meeting discuss expanding this.

__Heat__
Stuart: recap current sit. To get FR warmer
Morgan: FR got radiant heaters and one works thanks to Pete the plumber. Initially we’d get them working and then do a workday to hang them. But hanging them is dangerous and complicated. The interim solution was torpedo heater. W e now need to find a consensus about torpedo heaters now or hire contractor and make the investment in hanging the radiant heaters.
Sean: feels that the update was subjective. Wants to hear about cons of torpedo heaters
Morgan: heaters need fuel all the time. They’re loud, they’re at floor level, they’re flammable, and things at FRee ride are flammable. Everything we do will be imperfect.
Andalusia: we need to consider building a tarp/tent in FR Then we could keep with torpedo heaters.
Jessica: for hanging heater its not as dangerous as advertised and we don’t know how expensive it will be, and if CJ will cover the cost. And would like to hear more on the tarping
Morgan: also I am going to leave town for March 15th so I can’t bottom line this project anymore.
Andalusia: I talked to brain about CJ doing it and helping. “Especially since we have no lease. That’s something to talk to Deb about:

Does anyone want to invest if we don’t’ have a lease: some say no some are ambivalent.
Sean: winter in there sucks. Solving the problem as permanently as possible is the best option. Since we can take it with us.
Morgan: if the kids are cold it would be easier to space heat the office space.
Jess: Probably require us to pay rent on that space.

Elijah: Proposal Buy another torpedo and a 55 gallon drum to store fuel.

Morgan: on Ellijay’s proposals, the torpedo will run on biodesiesl. If someone will take it on we can buy 55 gallon FRom Nathan and it won’t be totally a fire hazard. Making sure its safe to have 55 gal of biodiesle in the building and making it.
Jessica: Torpedo heaters are ineffectual and a fire hazard. I’m reluctant to go that route. There are other radiant heater solutions.
Sean: I share Jessica’s concerns. If we don’t’ get a bunch of biodesel Monday someone will buy kerosene other days until we get biodesiel. I don’t feel that it doesn’t work I appreciate the attempt to find a solution. I don’t’ feel comfortable having anything more dangerous in the shop than that.
Morgan it will light at 150 degrees but its lest flammable than
Diane Proposal: draw up a list of the ideas outline questions and pros and cons. And questions of this.
Jessica: one question is can we have another because of CJ.
Maxine: Proposal to winterize the windows
Stuart: concerns with torpedo heaters are safety and radiant heaters are money.
Proposes: if I can get these radiant heaters for 1000$ or under that I will do that. Accepted 3 ambivalent most other passes.
Johnny: kerosene is more expensive than gas. And that makes it cost ineffective
Morgan: I did a it cost under 10 dollars a shift.
Stuart: when will we meet for bike-bike?**

Cash register
Sean: did everyone understand? I bought a cash register for 500$ and the company I went to will do the programming for it. So I’ll take things that are on the locker ablinkies, tiers etc. But also have other categories for register interface. So what is important?
Morgan: is it like a screen
Sean: it has 30 buttons
Morgan: does it have a scanner?
Sean: no, and I don’t know how many employees I have. I don’t’ know if I have a better way other than the greeter.
Erok: do we need a separate category on used? Do we pay taxes on that?
Sean: has to do with quick books and to know where we get our money FRom. We get x FRom this and y FRom that. Taxes we are only paying taxes on new FRom qbp catalogue. I’m sure we could have a language for that

Jessica: we should have a cover to hide it so casual thieves don’t smash it. Do we have a key for used parts would that be variable costs.

User accounts to track changes? Tracked if you use your e-mail address…. if you don’t put your address in, your edits aren’t tracked. You can enter your name when you make a change…. but we can’t do that automatically.
